ShipJobs is a maritime job search platform. When you create a profile, search roles, or apply to vacancies, we process your information so employers can review your qualifications and contact you about career opportunities. This policy explains what we collect, why we use it, and the choices you have.
1. Who we are
ShipJobs operates the candidate job portal and related hiring tools used by maritime employers, manning agencies, and ship operators. We act as a data processor when employers use our applicant tracking features, and as a data controller for your candidate account and platform activity.
2. Information we collect
We collect information you provide directly and data generated when you use the platform:
- Account details: name, email address, phone number, and login credentials.
- Candidate profile: rank, sea service, vessel experience, certifications (CoC, STCW, medical), documents, resume/CV, and career preferences.
- Job activity: saved missions, applications, search history, and communications related to vacancies.
- Technical data: IP address, browser type, device information, and cookies required for secure sign-in.
3. How we use your information
We use your data to operate the service and help you find maritime career opportunities:
- Match you with relevant job postings and surface fast career opportunities.
- Share your candidate profile and application materials with employers when you apply or express interest in a role.
- Allow verified employers to search internal talent pools where you have opted in or applied.
- Verify credentials, prevent fraud, and keep the platform secure.
- Send service notifications about applications, interviews, and account activity.
- Improve search relevance, platform performance, and user experience.
5. Legal bases for processing
Depending on your location, we rely on one or more of the following legal bases:
- Performance of a contract — to provide job search, applications, and account services you request.
- Legitimate interests — to improve matching, secure the platform, and support efficient maritime recruitment.
- Consent — for optional marketing, analytics cookies, or profile visibility beyond a direct application.
- Legal obligation — where maritime compliance, record-keeping, or regulatory requests require it.
6. Data retention
We keep your account and profile while it remains active. Application records are retained to support hiring history, dispute resolution, and compliance with maritime employment regulations. You may request deletion of your account subject to legal or contractual retention requirements.
7. Security
We use encryption in transit, access controls, tenant isolation, and audit logging to protect candidate data. No online service can guarantee absolute security; please use a strong password and notify us promptly of any suspected unauthorized access.
8. Your rights
Depending on applicable law, you may have the right to:
- Access, correct, or export your personal data.
- Delete your account or restrict certain processing.
- Object to processing based on legitimate interests.
- Withdraw consent where processing is consent-based.
- Lodge a complaint with your local data protection authority.
9. International transfers
Maritime hiring is global. Your data may be stored or accessed in countries where our infrastructure or employer users operate. We apply appropriate safeguards for cross-border transfers where required by law.
